MEMBERSHIP POLICIES

CLASS ENROLLMENT AND CANCELLATION POLICY:

All members are required to pre-enroll in classes to secure a spot in their desired class time.  All CrossFit classes are capped at 12 members, with the exception of our Saturday morning classes which are capped at 18 members.  Our specialty classes in our upstairs studio, to include Rowing, are capped at 10 and assault bike training at 4 members respectively. We only have that many machines! If you are unable to enroll prior to the cap then your name will be added to a waitlist.  If you have pre-enrolled in a class and can no longer attend, you will be required to cancel your enrollment 30 minutes prior to the class start time to allow for another member on the waitlist to attend the class. If you are on the waitlist you will need to wait until a spot opens to attend the class.  The system will notify you directly if space becomes available. Please Note: Once you arrive to class you will still need to check in at the kiosk or via your phone to change your status from enrolled to checked in for that specific class. Enrolling in the class is not the same as checking in to class.

Enrollment Cancellation:  

All members can cancel their enrollment free of charge no later than 30 minutes prior  to class start. After that time, a fee of $10 will be charged if you are on a recurring monthly plan or pre-paid package. If you are on a punch card then a visit will be deducted from your punch card. Please be sure to cancel in a timely manner to allow members on the waitlist to attend and to avoid any cancellation fees.  This is particularly important for our specialty classes that are limited in class size and often have a waitlist.

Minimum Attendance:  

We do require a minimum attendance policy of at least 1 member enrolled prior to each classes set time, it will be cancelled. For early morning classes prior to 9 a.m., pre-enrollment must be completed by 10 p.m. the night before. If enrollment is under 1 member by 10 p.m. the following morning class will be cancelled. For Mid Morning and afternoon classes, the timing is differnt. For later classes, that time pushes to 1 hour prior.

This policy is intended to ensure we have the resources necessary to run each class safely and effectively. Please Note: If you fail to enroll in the class and show up, you run the risk of not being able to attend the class if it is already full and will be asked to wait until the next available class. Or the gym may not be open.

To enroll in classes you can go to your Wodify app and log in.  It is recommended that you save your Wodify app icon to your home screen on your phone for easier access.  If you are unsure how to enroll in classes, please ask.

SIGN IN POLICY:

All members must sign in at the computer station prior to your scheduled class to change your status from enrolled to checked in. This is for all classes and personal training.

LATE POLICY:

If a member is late to class, they will need to check in with the coach on duty to determine if they will be able to attend class. We typically will extend a 5-10 minute grace period as long as the class is still in the middle of the group warm up, but ultimately it is at the Coaches discretion and safety assessment. If the class has commenced the skill or strength portion of the class then the member will be asked to attend the next scheduled class of the day. Members who are allowed to join the class late, will be given an alternate warm-up to be completed immediately so as not to further delay the class. The individual may also be asked to sit out of the skill or strength portion if they are late and prepare for the WOD. This policy is meant to ensure that classes run on schedule and in a safe manner. We value your safety as well as our members and coaches time, and we ask that all of our members respect this policy and make every effort to arrive on time, if not early for class. Additionally, if a member is consistently late to class and it appears they are abusing the late policy, the member will be asked to attend the next available class of the day.

MEMBERSHIP PLAN RENEWALS, CHANGES AND CANCELLATIONS

AUTOMATIC RENEWAL:

All Monthly Session Based Membership plans are paid by monthly automatic electronic payment (credit card, debit card, or automatic checking account draft). Monthly memberships will automatically renew each month at the same payment terms and billing date established at time of enrollment. All prepaid plans (3, 6, and 12 month blocks) are paid upfront and will automatically renew upon expiration at the same rate and terms as the initial membership. Any changes to plan, or cancellation must be received 30 days in advance of next billing cycle or plan expiration date. It is the members responsibility to monitor membership expiration and renewal dates.

MEMBERSHIP CANCELLATION:

Month-to-Month plans and memberships can be canceled at any time, however we must receive written notification thirty (30) days prior to your credit/debit card processing date to cancel your monthly membership. All plans and monthly memberships require a minimum of 30 days written notice prior to next billing date to assure cancellation of automatic payments. Cancellation requests submitted within the 30 day billing cycle will result in a final payment drawn from your account on your established auto draft date. Once final payment has been drawn from your account, clients will have 30 days from the last bill date to use the facilities. It is your responsibility to provide written notice 30 days in advance of your next billing date. There will be no refund issued once a payment has been charged to your credit card.  All monthly recurring term plans of 6 months and 12 months require 30 days written notification prior to your next bill date and will incur an early cancellation fee equal to one month membership for that plan. Some exceptions may be made due to circumstances.

MEMBERSHIP UPGRADES AND DOWNGRADES:

All members are welcome to upgrade or downgrade their membership plans or packages without penalty. Memberships can be upgraded at the start of the next billing cycle. However if a member wishes to upgrade immediately their new membership plan will be prorated based on the number of days remaining in their current billing cycle at their new rate. At the start of the next monthly billing cycle they will be charged at their full membership rate.

If a member wishes to downgrade their membership to a lower session based plan they must wait until their next monthly bill date for the new plan to be effective. Please note, changes cannot be made retroactively.

ATTENDING MORE SESSIONS THAN ALLOWED BY YOUR MEMBERSHIP PLAN:

If a member attends more classes than his/her plan allows in a month, they will be charged a fee of $10 per additional session. For example if a member has a 9 session per month plan, but attends 12 sessions within their monthly billing cycle they will be charged their 9 session per month membership fee as well as an additional $30 for the additional three classes attended. Class fees for additional classes will be billed directly to the members card on file at the end of the month. If a member consistently attends more sessions than their plan allows, it is highly recommended they consider upgrading to a higher session membership for the cost savings

MEMBERSHIP HOLDS AND ACCOUNT FREEZES:

Clients may put their membership on freeze or hold, for a period no less than thirty (30) days (or one calendar month), and for up to ninety (90) days (three calendar months) per calendar year. Notice of freeze must be given to CrossFit Kingstowne via written email notification prior to the first day of the requested hold and will not be issued retroactively. Holds cannot be issued for personal travel under 3 weeks. All payments drawn prior to the requested hold will not be refunded. Clients will not be billed for frozen months, and billing will resume automatically upon end of the freeze period. All prepaid clients will have memberships extended by the number of frozen months. Holds longer than ninety (90) days may be issued for members of the military on temporary duty assignment with advanced notification. If client chooses to cancel membership during the hold or freeze period, written notification must be issued within 30 days prior to the end of the hold period, otherwise clients will be charged a final month of membership upon hold release.

MEMBERSHIP LAPSES AND MEMBERSHIP REACTIVATION:

If you choose to cancel your membership at any time and return at a later date you will be subject to any rate increases at the time of enrollment.

REFUNDS:

BattleGrounds Fitness Inc will not provide refunds retroactively for any cancellation requests. Membership cancellations are only processed by sending written notification via email to info@battlegroundsfit.com. Please do not send cancellation messages to our Facebook page or other social media sites.

BattleGrounds Fitness Inc does not issue refunds if you do not use your membership, nor can you carry over sessions to the next month if you missed a class. No exceptions.

DISCOUNTED MEMBERSHIP PLANS AND PACKAGES:

BattleGrounds Fitness Inc provides discounted rates to public service members to include all active and retired military, law enforcement, fire and rescue personnel as well as teachers, nurses and students. We also provide discounts to dependents of all active military, LEO and fire and rescue personnel. In order to receive the discount a valid identification is required at the time of membership enrollment. Please inquire with our staff for more details on discounted plans and packages.

KIDS AND DOG POLICY:

BattleGrounds Fitness Inc prides itself on being a kid friendly gym. Due to allergies we limit the allowance of dogs on a case by case basis. But in the interest of keeping everyone as safe and focused on their fitness as possible, we ask that you adhere to these policies regarding children and dogs. All children need to be signed in to the child minding service or attending Kids CrossFit class. Our coaches are not responsible for your children or your pets. If your child is screaming please attend to them. Children are not allowed on the equipment unsupervised at any time (to include rings, bumper plates, and boxes), and must be off the gym floor during classes. Pets are not allowed on the floor. Pets may be kept in kennels in our lounge area only.  Please ensure your children do not go behind our front desk or upstairs without being checked in at any time. Please assist with clean up after your children leave child minding care.

Dogs that bark, whine, jump or bite are not allowed at the gym. Dogs must be on a leash at all time or kenneled. We reserve the right to ask you to remove a disruptive dog at any time. Our staff is not responsible for your dog or any messes they make. Please always ask management first if it is ok to bring your dog to class, please do not assume it is ok without first seeking permission. Each case will be assessed fairly and individually.

SAFETY:

We reserve the right to scale or stop your training session if it is deemed unsafe by a coach. We don’t want you to get hurt.

We also reserve the right to refuse service to anyone for any reason. We reserve the right to cancel a client’s membership at any time for any reason. If your membership is terminated by BattleGrounds Fitness Inc for any reason; we will refund the balance or remainder of any prepaid, unused membership.

Childminding Policy

There is a $20/month charge for childcare services at BattleGrounds Fitness. This charge will include unlimited childcare for children at least 6 months of age. Should you wish to utilize childcare services on a drop in basis, there will be a $10 per visit fee.

Childcare service charges will be added to your monthly membership and will be billed on the same date. Please contact info@battlegroundsfit.com to enroll in the childcare program.

No electronic devices are allowed in our childcare area. No TV will be provided. This includes cell phones, iPads, and gaming devices.

Child minding only includes basic supervision of the child. Books, games and other activities are available. Child minding is only provided while the parent or guardian is on the premises, or in the immediate vicinity of the premises, and participating in a class. Should a child need care, maintenance, or become inconsolable during the class, the parent or guardian is responsible to leave the class and attend to the child. Parents will be notified of a need via the intercom system.

Any child over the age of 6 months is to be signed into childcare for the child-minding staff to supervise. This policy does not exclude any children under the age of 18. The child-minding staff is there to provide basic supervision among ALL children while the parent or guardian is participating in a class. Note: We are a NUT FREE space. No peanuts, peanut butter or any food that contains peanut oil or flour is allowed in the gym. If the label states the item was processed in a plant or on machinery that also processes peanuts (or tree nuts) please do not bring either. Please also be aware of Gluten allergies. Do not allow your children to share food with other children.
